First job

I built it for my own company first

The first business I did this for was my own, a small restoration company. Photos sat in Google Photos, quotes and handwritten notes in Google Drive, client email in Gmail, and nothing anywhere showed a whole job at once. Knowing where a job stood meant opening all of them.

Today it runs on a CRM built out of its own job data, automatic lead handling, and AI helpers that carry the back-office weight. None of it takes a decision away from me.

The labor screen: hours per person for one week, pulled automatically from the shared calendar, with a total of 122 hours across four people. Hours totalled per job as bar rows, above a jobs registry listing each job with its start date, last activity and a status of quoting, active or stalled. The website screen: contact-form leads listed with the sender, the date and what they asked for.

Any business that runs on an inbox, a calendar, and a pile of open tabs has the same repetitive work sitting in it, restoration or not.

Other things I’ve built and still run

Some of these came out of my own company, some out of my own house. All of them run on hardware I own, and I use them.

An agent that works overnight

It takes one job off my list after I go to bed and does the work in a walled-off copy of the files. In the morning my phone has a message with what it did and two buttons, Approve and Deny. Nothing it touched becomes real until I tap Approve.

A memory the AI carries between tools

Most AI forgets you the moment you close the window. This keeps a running map of my business, my equipment and the decisions I’ve already made, and the AI tools I work in read from that same map instead of asking me to explain it again.

A gatekeeper for code I didn’t write

Before anything off the internet is allowed near my machine, a separate scanner reads it for passwords left in the open, known security holes, and instructions hidden in the text meant to hijack an assistant. It answers yes or no before a single file gets copied down.

Watchers for things I used to check by hand

Small programs that sit on public listings, on prices, and on whether a machine has fallen over, and send my phone a message when something changes. They run on a box in my house, cost almost nothing, and exist so that checking is not a thing I have to remember to do.

A paperwork translator

PDFs, spreadsheets and slide decks go in, and text an assistant can read comes out. It’s the piece that lets AI work on the documents a business already has instead of on whatever you retype into a chat box.

  • A meeting-cost meter is headed for the Windows and Mac app stores.
  • Dictate a job into your phone, and a QuickBooks proposal draft is waiting on your desk when you sit down.
  • A lead finder that reads public property records and flags the buildings a restoration crew should be calling on.
  • A drafting tool that takes the first pass at historic-preservation grant applications.

Two ways to bring me in

Systems Audit

I come out and walk your week with you to find the work that repeats: the same email retyped, the same numbers moved between two places. Then we set up the AI you already pay for so it takes some of that off you. That means sorting the chatbot you’ve been using from the agent side you haven’t, giving it a memory, and pointing it at your own files and tools. The written plan at the end is yours to keep whether or not you hire me to build anything, and you leave knowing how to run what we set up.

Build & Install

When the audit turns up something worth building, it becomes a scoped project with a finish line, same as any other job on your calendar. I put in what the plan calls for, fit it around the way you work, and stay on it until it holds. When it’s done you own it outright: the work itself, the accounts it runs on, the logins. I hand over the keys and you are not renting it back from me.

How I work

If I do this right, you won’t need me

The usual version of this ends with you holding a login and a phone number to call when it breaks. I’d rather teach you the thing. You already learned a trade, a payroll system, and whatever software your industry made you learn, and this is easier than any of those. By the time I pack up you should know why the setup works, what to change when the business changes, and how to ask for the next piece without me in the room.

That’s the default, not a condition of the work. Some owners would rather hand the thing over and never open the hood, and that’s a real answer. Tell me that and I’ll run it for you, or step back in whenever something needs doing, and you can learn the parts you want and leave the rest with me.

The chat box is the small part

If you pay for one of the big AI subscriptions, the part that answers questions is maybe a fifth of what you bought. The rest of it is an agent: something that opens your files, reads your calendar, fills out the form, and carries a job start to finish while you’re on a roof or under a truck. Almost nobody gets shown that part, so a tool that could be doing the work sits there being used like a search bar.

Guards on the machine

What stops people from going further is the worry that the thing goes off on its own and does something stupid with their files. Fair worry. So the setups I put in are fenced: the agent works on a copy, it asks before anything gets deleted or sent outside the company, and the stop button is yours. Nobody runs the saw with the guard off, and there’s no reason to run this one that way either.

It belongs to you

Every account goes in your name and the files sit on your drive. If you decide next year that you want someone else on it, or nobody, that works and nothing of yours stops running.

What a millwright does

In a mill, the millwright is the one who sets the machinery, keeps it turning, and comes back when it starts to bind. The mill makes the product; the millwright is why it can. I do the same job for a small business. I put in the systems the work runs on and keep them working, so you can get back to the part of the business only you can do.
